What's the difference between "Active" and "Approved" status?

The short answer

  • Active describes a record that's currently in use and not archived or deleted — a state of presence.
  • Approved describes a record that has passed through an approval workflow — a state of governance.

They're not mutually exclusive. A tactic can be both Active and Approved at the same time.

"Active" — the presence state

A record is Active when it's:

  • Not deleted.
  • Not in the Recycle Bin.
  • Not flagged as inactive in the relevant settings list (workflows, roles, users, etc.).

You'll see Active vs. Inactive filters on grids and settings screens — for example, the Users grid defaults to showing Active users only. Active is about whether the record exists and is in normal use.

"Approved" — the governance state

A tactic is Approved when:

  • It has been submitted for approval under an approval workflow.
  • Every required approver has signed off.
  • The workflow's final stage is complete.

Before approval is reached, a tactic may be in states like Draft, Pending Approval, or In Approval. After approval, edits to certain attributes can trigger a re-approval cycle depending on your workflow configuration.

Where you'll see each

  • Active shows up as a filter on settings grids (Users, Roles, Approval Workflows, Models) and on object lists. It controls visibility, not governance.
  • Approved shows up on individual tactic Inspection Windows, on the My Approvals screen, and in approval status columns on the Plan Grid.

Other tactic statuses to know

  • Draft — being edited, not yet submitted.
  • Pending Approval / In Approval — submitted, working through the approval chain.
  • Approved — all required approvals received.
  • Rejected — an approver declined; the tactic returns to Draft for revision.
  • Cancelled — explicitly cancelled by the owner.

Your instance may use slightly different labels depending on configuration.

Common questions

Can I edit a tactic that's been Approved? Yes, but depending on your workflow rules certain edits (especially to planned cost or workflow-driving attributes) trigger a re-approval cycle. See Can I edit a tactic after it's been approved? for specifics.

If a tactic is Inactive can it still be Approved? Inactivity typically applies to settings records (workflows, roles, users). Tactics themselves are governed by status (Draft, In Approval, Approved, etc.) and by deletion. A deleted tactic is not Active and isn't approvable.
