Tactic Status Definitions

Short Description A glossary of the tactic statuses you'll see in Hive9 — Draft, Submitted, In Approval, Approved, Rejected, and others.

The standard statuses

Status Meaning
Draft Being edited, not yet submitted for approval. Editable by the owner (and admins).
Submitted / Pending Approval Submitted; the approval pipeline has started; an approver is expected to act.
In Approval One or more approvers have acted; others are still pending. Used in multi-stage workflows.
Approved All required approvers have signed off. The tactic is fully approved.
Rejected An approver declined. Returns to Draft (or a Rejected state) for the owner to revise.
Cancelled Explicitly cancelled by the owner or an admin. Not approvable in this state.

Your instance may label these slightly differently or have additional custom statuses. The progression — Draft → Submitted → In Approval → Approved — is consistent.

Where status displays

  • Plan Grid — Status column on each tactic row.
  • Inspection Window — Status field on the Overview tab.
  • My Approvals — only tactics in approval-pending states surface here.
  • Filter Panel — Status filter lets you narrow the grid by status.

Valid transitions

  • Draft → Submitted — when the owner clicks "Submit for Approval."
  • Submitted → In Approval — automatic, when the first approver acts.
  • In Approval → Approved — when all required approvers approve.
  • In Approval → Rejected — when an approver rejects.
  • Rejected → Draft — owner revises and re-submits.
  • Approved → Submitted (re-approval) — when a workflow-triggering edit is saved on an approved tactic.
  • Any → Cancelled — owner or admin cancels.

Status and editability

Status affects what attributes can be edited:

  • Draft — fully editable by the owner.
  • Submitted / In Approval — most fields lock; only the approver's action or an admin override moves the tactic forward.
  • Approved — most fields are editable, but workflow-triggering edits restart approval.
  • Cancelled — no edits allowed.

Status and Performance / Measurement

Approved tactics are typically the ones counted in performance and budget roll-ups by default. Some reports include Draft and In Approval tactics — depends on the report and instance configuration.

If a tactic isn't showing up in a report you expect, check its status first.

Common questions

My tactic is stuck in Submitted. What's wrong? The most common reason is no eligible approver — either the workflow references an inactive workflow, or the team has no member with Can Approve = Yes. See the related troubleshooting articles.

Can I revert an approved tactic to Draft? Not directly — you can edit it (which may trigger re-approval) or cancel and recreate. Some instances allow admins to force status changes for cleanup.

Are statuses the same for Campaigns, Programs, and Plans? Yes — the same status model applies to all hierarchy levels. Each level has its own status independent of its parents and children.

What's the difference between Approved and Active? Active is a separate concept — it refers to a record being in use rather than archived. A tactic can be Active and Approved at the same time. See What's the difference between "Active" and "Approved" status?
