The error
When adding a user in Settings → Users → New User, Hive9 shows:
"Email exists already. Please try another email."
But when you search the Users grid for that person, the grid shows No data for display.

Why this happens
There are four common reasons:
- The user was deleted with the "Keep ownership" option. When an admin deletes a user in Hive9, the deletion dialog offers two ownership paths — Reassign or Keep. Choosing Keep preserves the user record so their owned objects don't become orphaned. The record stays in the database, the email stays reserved, but the default Users grid filter hides it from view.
- The user exists in a different instance at your organization — for example, a Sandbox instance separate from Production. Email uniqueness is enforced across instances at your customer's account level.
- A grid filter is hiding the user. The default Users grid view often shows only active users. Inactive or deactivated users won't appear until you broaden the filter.
- Cross-product collision. If your organization uses both Hive9 and another Uptempo product (Brandmaker, Uptempo Plan & Spend), an email registered in one product may collide with the other.
How to fix it
Step 1 — Broaden the search
- Open Settings → Users.
- Clear any partial-text search. Search by last name only — partial first-name searches sometimes miss records.
- If the grid has an Active/All filter, switch it to All so inactive users are included.

Step 2 — If the user appears, reactivate access
- Click the user's name to open their profile.
- Confirm or update the Role.
- Confirm or add at least one Team — every user must belong to one team.
- Save.
- Ask the user to go to
plan.hive9.comand use Forgot Password to set credentials. The reset email should arrive within a few minutes; ask them to check Junk/Spam if it doesn't.
Step 3 — If the user is still invisible
Check whether your organization has more than one Hive9 instance (for example, a Sandbox). The email may be registered in the other instance.
If you've checked all your instances and the user still doesn't surface, contact Support with:
- The user's full name and email.
- A note that the email is rejected as already in use but the record doesn't appear in your Users grid.
- The instance name or URL where you're trying to add them.
Support can locate the existing record from the backend and either reactivate it or release the email so you can create a fresh account.
Common questions
Why does Hive9 keep deleted user records? To preserve historical ownership of plans, tactics, line items, and budgets. If a deleted user's records were stripped, audit trails and approval history would be broken.
Can I force-delete a user to free up the email? No — there's no admin-side hard-delete. Support handles email release on a case-by-case basis.
The user used to be active and now isn't showing up. Did something change? The most common cause is that another admin deleted the user with the Keep-ownership option. Check your Audit Logs (Settings → Audit Logs → User events) for the deletion event.
