Creating, Editing, and Deleting Users

Short Description The user lifecycle in Hive9 — creating new users, updating existing ones, and deleting users with proper ownership handling.

Creating a new user

  1. Go to Settings → Users.
  2. Click New User (top-right).
  3. Fill at least the mandatory fields (typically marked red):
    • First name, last name, email.
    • Role.
    • Default currency, date format.
  4. Assign the user to at least one team. Every user must be on a team.
  5. Save.

The user receives a welcome email with a link to set their password. The link expires after a limited window.

 

 

 

Editing a user

  1. Go to Settings → Users.
  2. Search if needed; click the user's name.
  3. Edit fields as needed:
    • Role.
    • Teams.
    • Default currency.
    • Notification preferences.
    • Other attributes.
  4. Save.

Changes take effect immediately. The user may need to refresh their browser to see new menu items.

Deleting a user

User deletion is the most consequential admin action — it requires deciding what happens to the user's owned objects (plans, tactics, line items, PRs, etc.).

  1. Go to Settings → Users.
  2. Click the user's name.
  3. Click Delete (bottom-right).
  4. The confirmation dialog shows:
    • All objects owned by the user.
    • Two ownership options:
      • Keep ownership with same user — only Admins can edit afterward.
      • Reassign ownership to another user — pick the new owner.
  5. Click Continue.

What happens after delete

  • Reassign chosen: all owned objects transferred to the new owner. New owner is notified.
  • Keep chosen: objects retain the deleted user as owner, become non-editable for everyone except Admins. The user record is preserved in the database.

The deletion is recorded in the audit trail with the original owner, new owner (if any), and the affected objects.

Important: email reservation

Even after deletion, the deleted user's email remains reserved in the database. If you (or the user) tries to add a new account with the same email later, Hive9 will reject it as already in use. See Error: "Email exists already" — but the user isn't in my Users grid.

Default currency

When creating or editing a user, set their Default Currency to match the currency they'll most commonly use. They can still pick other currencies per-record, but the default flows through to new tactics and budgets.
 

Common questions

Can I create a user without a team? No. Every user must be assigned to at least one team. Add a team during user creation or before saving.

Can I undo a deletion? No. Once confirmed, deletion is final. Reassignments are also final.

Can I bulk-create users? Some instances support CSV import for bulk user creation. Check with your CSM or contact Support for availability and format.

What if my user's email changed? Edit the user's email field directly. The change is recorded in the audit log. If your organization uses SSO, also coordinate with IT to align the IdP claim — see SSO login fails for some users but not others.
