Short Description Teams are how Hive9 controls content access and approval rights. Each team membership has two toggles — Can Edit Team Content and Can Approve for Team. This article explains how they work.
What this article answers
- What teams do and how they differ from roles.
- The two per-membership toggles.
- How to create and manage teams.
What a team is
A team is a group of users who collaborate on a specific subset of Hive9 content. Membership grants visibility into team-owned objects (plans, tactics, line items, PRs) and access to team-specific approval workflows.
A user can belong to multiple teams — see Can a user belong to more than one team?
The two membership rules
Each user's membership on each team has two toggles:
Can Edit Team Content
- Yes — the user can edit ALL content owned by team members.
- No — the user can only edit content they personally own.
This controls whether the user is a "team editor" or just a "team viewer."
Can Approve for Team
- Yes — the user is an eligible approver for tactics, PRs, and CAG flows on this team.
- No — the user is NOT eligible to approve, even if they otherwise have admin permissions.
At least one team member must be Yes. Hive9 enforces this — if you try to set the only Can Approve = Yes member to No, the change is blocked.
The toggles are per-team-per-user, so a user can be a Can Approve = Yes on one team and No on another.
Creating a team
- Go to Settings → Teams.
- Click New Team.
- Fill required fields (typically marked red): name, description.
- Save.
The team is created. Add members from the team's edit screen.
Editing a team
- Settings → Teams → click the team.
- Click Edit (icon).
- Modify name, description, or membership.
- Save.
You can change Can Edit / Can Approve toggles on existing members from the membership grid.
Deleting a team
Caution: Users who are members of only that team will lose access to the content the team had access to. Plan accordingly.
- Settings → Teams → click the team.
- Click Delete (bottom-right).
- Confirm.
If members of the deleted team need continued access, add them to another team first.
How teams interact with roles
- Role controls what features a user can access (which menus, which permission categories).
- Team controls which content a user can see and act on.
The user's actual capabilities are the intersection:
- A Client Admin (role) on Team A (team membership) has full features AND full access to Team A's content.
- A Marketing User (role) on Team A and Team B has Marketing User features applied to content owned by Team A and Team B members.
Common questions
Who can approve tactics for a team? Members with Can Approve = Yes on that team. See Who can approve tactics on a team?
Can I see other teams' content without being on the team? Depends on your role. If your role has "Limit content to user's teams" turned on, no. If turned off, yes.
How do I know which teams a piece of content belongs to? The owning team appears on the object's Inspection Window (Owner / Team fields). Content owned by a team member belongs to that team.
Can I move content from one team to another? Sometimes — typically by changing the object's Owner to a member of the new team. Specifics depend on instance configuration.
