Currencies — Adding, Deleting, Exchange Rates

Where currency lives

All currency management happens under Settings → Currency.

The page shows:

  • The currencies currently enabled in your instance.
  • Their exchange rates to USD (the base currency).
  • Edit and delete controls per currency.

Adding a currency

  1. Go to Settings → Currency.
  2. Click Add New Currency (top-right).
  3. Pick the currency from the list.
  4. The currency is added.
  5. Set the Exchange Rate to USD (or your base currency).
  6. Save.

The currency becomes available for selection on user defaults, budgets, tactics, and PRs.

Maintaining exchange rates

Single rate per currency

The simplest approach: one exchange rate per currency, updated periodically.

  1. Settings → Currency → click the currency.
  2. Edit the Exchange Rate field.
  3. Save.

All conversions use the current rate. Update on whatever cadence your finance team requires (monthly, quarterly, etc.).

Monthly rates

For tighter alignment with accounting, Hive9 supports monthly exchange rates — different rates for each fiscal period.

Two opt-in toggles control monthly rate behavior:

  • Use Monthly Actual Rates — applied to actual-cost calculations.
  • Use Monthly Rates for Purchase Requests — applied to PR conversions.

Enable whichever monthly behavior matches your finance team's preference. You can enable one without the other.

Updating monthly rates

When monthly rates are enabled:

  1. Settings → Currency → click the currency.
  2. Find the monthly rates section.
  3. Enter the rate for the current (and upcoming) period.
  4. Save.

Records hitting a given period use that period's rate for conversion.

Removing a currency

Caution: Removing a currency that has historical activity can create reporting gaps. Discuss with your CSM before removing.

  1. Settings → Currency.
  2. Click the trash can icon on the currency row.
  3. Confirm the prompt.

The currency is removed from selection lists. Existing records retain their historical currency.

Per-user default currency

Each user has a default currency on their profile (Settings → Users → user → Currency field). This defaults new tactics and budgets the user creates to that currency.

Users can still pick another currency per-record where the workflow allows.

Common questions

What's the base currency? USD by default. Hive9 resolves all foreign currencies to USD for reporting roll-ups. Some instances are configured with a different base currency — check with your CSM.

Can I have rates with more than 4 decimal places? Standard rate precision is sufficient for most use cases. If you need more precision for unusual currencies or high-precision finance reporting, ask your CSM.

What happens when I change a rate? Existing records keep their original recorded amount in their original currency. Conversions to USD recompute on the next reporting refresh based on the rate active at that record's time (single rate) or for that period (monthly rates).

Does Hive9 auto-update exchange rates from a feed? Not natively — rates are managed manually or via integration. Your CSM can advise on integration options.
