Templates and snapshots in Allocadia

Templates let you reuse hierarchy structure for new plans. Snapshots capture your budget state at a point in time for reporting. Here's how both work.


Templates

A Template is a saved hierarchy structure — the folders, budgets, activity plans, categories, and placeholder line items — that you can apply when creating a new hierarchy. Common uses:

  • A regional template that each business unit applies to their new FY hierarchy.
  • An event-plan template that marketing teams reuse for each major event.

Creating a template

  1. Open the hierarchy you want to base the template on.
  2. Open the hierarchy menu → Save as Template (or similar; wording may vary).
  3. Choose which levels to include — the full structure or a sub-tree.
  4. Name and save.

Applying a template

  1. From Home, click + New.
  2. Choose From Template.
  3. Pick a template and specify the parent location.
  4. Allocadia creates the hierarchy using the template's structure. Planned amounts default to zero (or template defaults) — your team then fills in actual plan values.

Snapshots

A Snapshot captures the state of a budget at a specific point in time — plan values, approvals, mapped POs and Actuals as they were at that moment. Snapshots are typically taken:

  • At fiscal-year end, to lock the final plan vs actuals.
  • Before a reforecast, to preserve the prior plan.
  • At quarter-close for finance reporting.

Snapshots are read-only. Reports can be run against a snapshot to show what the plan looked like at that point — useful for audit, year-over-year comparison, or variance analysis.

Taking and viewing snapshots

Snapshot creation is usually configured at the account level and may be scheduled (e.g. end of each month). Your admin can trigger an ad-hoc snapshot if needed. To view existing snapshots, open the hierarchy's history / snapshots menu.
