Mapping multiple rows at once in Allocadia

Multi-select rows in the Map PO/Actuals page, then assign them all to the same Line Item in one action.


When to multi-map

Multi-row mapping is useful when a group of unmapped records all belong to the same Line Item — for example, several monthly invoices from the same vendor for the same program, or a batch of actuals from one event that landed as separate rows.

How to multi-select

  1. On the Map PO/Actuals page, click the first row to select it.
  2. Hold CMD (Mac) or CTRL (PC) and click additional rows to add them to the selection.
  3. To select a contiguous range, click the first row, hold Shift, and click the last row — all rows in between are selected.

Selected rows are highlighted. The purple Map (XX) button at the top shows the total number of rows currently selected.

Assign the mapping

  1. With rows selected, click the purple Map (XX) button. A dialogue pops out.
  2. In the pop-out, set:
    • Activity Plan — destination plan.
    • Category / Sub-Category — the destination category.
    • Line Item — the destination line item (auto-populates if only one option exists).
  3. Click the purple Map button to apply. All selected rows map to the chosen Line Item at once and disappear from the unmapped list.

When not to multi-map

If the selected records actually belong to different Line Items, don't multi-map — the system will assign all of them to whatever you pick, and you'll have to unmap and re-map later. Multi-map only when you're confident every selected row maps to the same destination.
