Create a Purchase Request against a Line Item from the budget grid. Here's where the New PR action lives and what each field is for.
Where PRs are created
Purchase Requests are tied to specific Line Items. To create a PR, start from the Line Item it funds.
- Open the Line Item's hierarchy and navigate to the Category where the Line Item lives.
- Right-click the Line Item row.
- From the menu, click New PR (or Create Purchase Request, depending on your version).
- The PR creation form opens.
Filling in the PR
The PR form captures everything your organization needs to initiate procurement. Typical fields include:
- Amount — the dollar value of the PR. Must fit within the Line Item's remaining planned budget (your account may or may not enforce a hard limit — see PR approval workflow basics in Allocadia).
- Vendor — the supplier the PR is for.
- Description — a short description of the work or purchase.
- Period — the time window the PR covers.
- Custom attributes — vendor codes, GL accounts, cost centers, or whatever your account requires.
Saving and submitting
Depending on your account configuration:
- Save keeps the PR in draft so you can edit before submitting.
- Submit sends the PR into the approval workflow. Once submitted, the PR is read-only unless you reopen it with a Modified PR.
Allocadia ID in the PR
When Allocadia creates a PR, the Line Item ID is stored on the PR record automatically. This is what makes auto-mapping of the eventual PO and Actuals work — the ID travels with the PR through your procurement system.
